Is Digital Permit Book Worth It? A Practical Fleet Evaluation

A digital permit book may be useful when the recurring problem is finding the correct document, assigning it to a driver or noticing expiry. That is a different question from understanding the route on a particular oversize permit.

Digital Permit Book describes fleet document management. Its FAQ explains driver and vehicle assignments, sharing controls and offline document access in the mobile app.

Those are useful capabilities to evaluate for a fleet. Do not reduce the product to “just storage,” and do not assume an AI document feature necessarily extracts an oversize route. Ask for a demonstration with the document type and workflow you need.

When a fleet library is worth testing

A trial is useful if dispatch repeatedly resends documents, drivers see outdated versions, or renewals are tracked in separate spreadsheets. Establish a baseline first: how often those problems occur and how much work they create.

Then use a small authorized or synthetic document set to check:

• Assignment to the intended driver, vehicle and trailer.
• Replacement of an old permit with an amendment.
• Clear expiry reminders and responsibility for responding.
• Retrieval on a phone after going offline.
• Access removal when someone leaves.
• Export and retention if you stop using the service.

A successful demonstration is better evidence than assuming that a feature label covers all these details. Electronic storage also does not by itself establish that a jurisdiction accepts that presentation format at roadside.

Support varies by document layout and route information. Check warnings, dashed sections, dimensions, escort conditions and dates against the original. The issued permit remains the sole route authority.
